How it’s calculated
How to use it
- Add your name, your manager’s name, the company and your role.
- Set the date you resign and your notice period in days. The letter works out your last working day with the day you resign counted as day 1, so a 60-day notice from 1 January ends on 1 March. If you have agreed a different date, set it as an override.
- Pick a tone: Warm for a manager you have a good relationship with, Neutral for a formal record, Brief when less is better.
- Tick the lines you want: an offer to help with handover, a request for early release or buyout, or a request to adjust leave against notice.
- Copy or download the letter, read it once more, and send it.
Tips
- Check your notice period in your appointment letter, not from memory. Many companies count it in calendar days; some say months.
- Tell your manager in person or on a call first, then send the letter the same day so there is a written record.
- You don’t have to give a reason. If you do, keep it to one sentence.
- Send it from your personal email too, or keep a copy, so you have proof of the date you resigned.
- Asking for early release is a request, not a right. Offering a solid handover makes a yes more likely.
Questions people ask
Do I have to give a reason for resigning?
No. A resignation letter only needs to say you are resigning, from when, and your last working day. A one-line reason is fine if you want to give one, but leaving it out is normal and professional.
How is the last working day calculated?
The notice period runs in calendar days, and the day you resign counts as day 1: a 90-day notice from 1 January ends on 31 March. Some employers start counting the day after, which makes your date a day later. Check with HR and use the override if you have agreed a different date.
Can I ask to leave before my notice period ends?
Yes. Tick “Request early release / buyout” and the letter adds a polite request. Your employer can agree, ask you to pay for the unserved days (a buyout), or ask you to serve the full notice.
Can leave be adjusted against the notice period?
Many companies allow earned leave to be set off against notice, but it depends on your contract and HR policy. The letter asks politely; the decision is your employer’s.
Should I send the letter by email or on paper?
Email is standard in most Indian companies today. Send it to your manager, copy HR if that is the practice, and keep a copy. Some employers also ask you to submit it on an internal portal.
Is anything I type stored?
No. The letter is put together in your browser as you type. Nothing is sent to a server.
